Common questions about payouts, staff, byes, list approval, and running events.

Quick answers to common questions for tournament organisers. The Hosting a Tournament section covers each topic in full.

Do I need to accept payments through OWR?

No. You can run a free event, or handle payment offline (cash or bank transfer). To take card payments through the platform, enable Accept payments via OWR on the Dates & Payment tab and connect Stripe. For a free or offline event, leave it off and set the entry fee to 0.

Do I need a website to set up Stripe?

No. During Stripe onboarding you can either enter your OWR tournament page URL or choose "Add product description instead" and paste a short description of what you do. See Setting Up Stripe Payments for a ready-to-use description.

When do I get paid out?

Payments collected through OWR are paid out by Stripe to the bank account you connected. The platform and processing fee (4.5% + $0.30 per ticket) is either deducted from your payout or passed to the player at checkout, depending on the option you chose on the Dates & Payment tab.

Can someone help me run the event?

Yes. Add co-organisers from the Staff tab by searching their name, email, or nickname. They get the same setup and game-day tools as you, so they can manage attendees, pairings, and results.

How are odd player counts handled?

If you designate a ringer on the Staff tab, they step in to play the lowest-ranked player. Otherwise the odd player gets a bye worth the BYE points you set on the Scoring tab (default 3, equivalent to a draw).

How do I approve army lists?

Review and approve lists from the Attendees tab as players submit them. When you approve a list, the player is notified by email and their status changes to List Approved.

Can I correct or override a score?

Yes. Players enter and confirm their own scores, but you can enter or override a result yourself from the Battle Board, which is how scoring disputes are resolved.

How do I message my attendees?

Use the Communications tab to email all attendees or an individual player. Replies are routed back to you through a per-player proxy address, so your personal email stays private.
